2. Contracts:
a.) Site contract has been received from the owners of the site and has been forwarded to Master Ljotr for review and signature. The site
owners
(Port Gamble) are giving us a break in the price and charging us
$2,000.00
for the weekend, plus an additional fee of $300 to provide garbage
services (cans and dumpsters).
b.) Biffy contract has been gathered. Price is $3929.50 for (30)
biffys
(25 regular and 5 handicapped). We have extensively researched other
local
biffy companies to get a better deal. All other local companies would
charge us the same price and those located in Tacoma or Seattle would
charge us transportation fees for the distance they would have to go
to
provide pumping and drop off / pick up of biffys themselves.
c.) Costs for hay would be split between June Faire and July Coronation,
which will help both events.
3. Site Lay-Out and Issues:
a.) Major lay-out placement has been decided. The main hill usually used
for most June Faire activities will hold Courts and Erics. Merchants
will
be placed across the street. The Royal encampment will be placed
where the
archery community currently holds archery competition at June Faire. All of this is contingent upon Their Majesties permission.
b.) Most other activities scheduled for the same weekend as July
Coronation in Port Gamble have been moved to other weekends. However,
we
have two weddings that cannot be moved. One will involve the 'wedding
pavilion' to the north side of town. This will eliminate a large
chunk of
land (the area around the wedding pavilion and the 'bowl' where the
Marketplace is usually housed) from our use for the weekend. However,
there is still more than enough territory to cover all events necessary to
July Coronation, including camping. Conflicts with the wedding to the
north will be mitigated as much as possible (noise checks and careful
placement of Court on the hill).
c.) Camping Coordinator and Activity Lay-Out Coordinator have both begun
taking reservations for space.
4. Publications:
a.) Pre-registration form will be in the May issue of The Crier.
b.) Copy is being prepared for the June and July issues of The Crier.
5. Marketplace:
a.) Applications for the Marketplace have been completed and issued to the
Merchant Community. Returns have begun arriving to Lord Brummbar.
6. Site Security / Emergency Preparedness:
a.) Medical Emergencies - In the event of a medical emergency, North Kitsap Fire and Rescue will be notified. They have a fire station
located
within 5 miles of the site. If the situation is not life threatening the Autocrat and/or Baronial Seneschal should be notified prior to
calling
911. If 911 is to called, the following address will be give for the
event: 4311 NE Hwy 104. Port Gamble. This is the address for the Port Gamble Trading Company. Then directions will be given to the location
of
the injury. i.e. top of the hill, Bowl between the houses, the ball
field
or behind the trading post. The Gatekeeper will be notified and along with
the Constables and Autocrat team will be responsible for clearing
roads
and creating access and guiding the aid car to the area where it is
needed. It is imperative that a member of the Constabulary or
Autocrat
team notes the modern name of the person receiving treatment. In the event
that an airlift is deemed necessary by NKFR, the closest school is
Wolfle
Elementary located on Bond Road. This site is again within 5 miles of
the
site.
b.) Police Emergencies - The responding authorities for this site are the
Kitsap County Sheriff’s Office. They can be reached by 911. Once
again the
reporting address of the incident should be: 4311 NE Hwy 104. Port
Gamble.
Then directions will be given to the location of the injury. i.e. top
of
the hill, Bowl between the houses, the ball field or behind the
trading
post. The Gatekeeper will be notified and along with the Constables
and
Autocrat team will be responsible for clearing roads and creating
access
and guiding the aid car to the area where it is needed. In any situation,
other than life threatening, the Autocrat along with the Baronial
Seneschal and acting Kingdom Seneschal will make the determination whether
to call the authorities.
c.) Evacuation Plan - In the unlikely event that the site in Port Gamble
should need to be evacuated, Hwy 104 will be utilized. This Highway
is a
two-lane road that runs both to Kingston and Towards the Hood Canal
Bridge. There is direct access to this road from the camping areas on
both
sides of the road. The more challenging aspect would be helping the
participants remove their cars from the parking lot in an orderly
manner.
This would be accomplished by a combination of the autocrat team, the
gatekeeper and the constables, communicating with radios and
directing
traffic from the mill site over the hill and to the camping areas, or
in
extreme emergency, to the Hwy for immediate evacuation.
d.) Site Security and Constabulary Plans - Under review, ECD: 5/12.
7. Gate:
a.) Location of gate will be the same as it was at September Crown, 2004.
It worked well in that location.
b.) Baronial Exchequer and her Gate Deputy are working with the Event Gate
Liaison to ensure a sensible system is in place for gate.
8. Marshallate Activities:
a.) Baronial Marshall (THL Conchobar) will work with the Kingdom Earl Marshall to ensure that all Kingdom needs are met.
9. Equestrian Activities:
a.) It has been requested that Equestrian Activities be held at July Coronation. We are not entirely sure that we have sufficient space to
cover the needs for this activity. The Dragon's Laire Equestrian
Marshal
(HE Tsuruko) will investigate this and we'll have more information by
next
month's report. |
