How to enter

 

AES Registration and Check Deadline: 12/24/2011

NN Team Application / Hotel form Deadline: 1/5/2012

Verified AES Roster & Foreign Team paperwork Deadline: 1/21/2012

Results entered into AES by the Tues following each event participated in

 

1. To be considered for acceptance into the 2012 NN, each team must:

 - Enter via AES  no later than 12/24/2011

 - Send a $530 check (US dollars only) payable to Nittany Ninvitational Volleyball Association (or NNVA) to arrive no later than 12/24/2011 – mail early for the holidays.  Please include your name, phone number, email address and your team name on the check.  Mail to:

 - Teams completing this step after 12/24/2011 may be charged a $50 late fee.

 

2. To remain in good standing, each team must submit the following.  Any accepted team that does not remain in good standing will be placed on the wait list.  Wait listed teams in good standing will move onto the accepted list provided there is room in the event.  Teams completing this step after 1/5/2012 may be charged a $50 late fee.

 - No later than 1/5/2012, complete and email (to atkinsonrose@yahoo.com) the signed Team Application form / Hotel form.  This form MUST contain hotel information – do not submit it blank.  Please note: This season the NN is a STAY-n-PLAY event.  All teams must stay at one of the tournament hotels in order to be accepted/participate.  Teams within a 40 mile radius may stay at home.

 

3. To continue to remain in good standing, each team must enter their roster into AES and have it verified, then print and mail us a hard copy to arrive no later than 1/21/2012.  Any accepted team that does not remain in good standing will be placed on the wait list.  Wait listed teams in good standing, will move onto the accepted list provided there is room in the event.  Teams completing this step after 1/21/2012 may be charged a $50 late fee.

 - Each roster needs to have at least 1 USAV registered and background cleared chaperone who is not listed on any other event roster, at least 6 USAV registered players and at least 1 USAV registered, certified (minimum: IMPACT) and background cleared coach. (max 15 players; 5 non-players)

 - As soon as your roster is AES verified, please mail a hard copy to:

PLEASE NOTE: If additions are made to your roster after it is mailed, the team must bring a hard copy of their updated and verified AES roster to the event.  Persons who do not have the necessary verifications showing on the AES roster will not be eligible for participation.  The tournament will NOT have on-site access to the internet.

 - NOTE: All Chaperones must bring with them a signed copy of the Chaperone form.  Please do not mail/email this form to us, bring it with you.

 - Foreign teams only must mail (to arrive no later than 1/21/2012) the following.  Please make sure all forms are properly completed and signed where required.  This requirement replaces the need for a verified AES roster, however an unverified AES roster is still necessary.

1.  Foreign Team Compliance form – one per team

2.  Team Registration/Summary – one per team

3.  Individual Registration form – 3 pages, first two required for ALL PARTICIPANTS, last page is information only

4.  Player Medical Release form – required for ALL PLAYERS

5.  copy of a government issued photo id - required for ALL PLAYERS

6.  $100.00 US Insurance fee.  (For Canadian teams, in Lieu of the $100 insurance fee, proof of 24/7 health insurance valid in the US - required for ALL PARTICIPANTS.  If the Health Sante Card has a current photo on it, it will suffice for both 5 and 6.  Only the front of the card need be photocopied.)

7.  A letter from your National Governing Body (on NGB letterhead) stating that the team and all it’s participants are in good standing (this may be emailed to atkinsonrose@yahoo.com).

 

4. To remain in good standing, complete, accurate and up-to-date results must be entered into AES by the Tuesday following each event participated in even if the event/opponents are in a different playing category.

 - You will need to obtain team IDs from your opponents in order to provide complete information.

 

NOTES:

AES uses the terminology: “late registration date” and “registration close date”.  We cannot change this terminology.  Please refer to the information listed above.

 

Accepted teams will be dropped to the wait list if they fail to complete the next step of the entry process in a timely fashion.  If there is room in the event, teams from the wait list will move onto the accepted list when they have met all necessary requirements for good standing.  It is highly recommended that all teams complete all requirements even if they are on the wait list, this way they are ready to be placed on the accepted list should space become available.  We will not be able to make any exceptions for teams submitting incomplete/late entry information.  Teams not accepted due to lack of space will be placed on the wait list.  Teams failing to remain in good standing will be considered to have withdrawn in regards to possible refunds should the team not participate.

 

This season we have opened the event up to include a 16s club event.  NO bids will be awarded in this division.
