Membership Agreement
September 1, 2010 – August 31, 2011
The AGPA is a non-profit organization whose purpose is to raise funds in order to help offset team member’s competition expenses. The AGPA maintains an individual assessment account for each team member and coordinates, along with the office staff, payment of all meet registration fees, coaches’ fees and other team-related expenses.
The following is a summary of membership criteria. There are references to the AGPA bylaws, distributed with this agreement, which provide a guideline for how the organization operates.
Membership:
In order to be eligible for general fund proceeds, meet proceeds, Pursuit of Excellence Awards or any other award thereof, members must meet all financial, fundraising and time commitments set for by the Board of Directors and the AGPA bylaws. These commitments include:
This fee covers meet registration fees and coaches’ fees/ expenses related to the meet schedule as published by Brestyans Gym for the 2010 – 2011 season. Meet registration fees must be paid months in advance of actual competition date. Therefore, all members must pay the entire team meet fee in three installments by the due listed below. Meet fees and coaches’ fees for Elite, TOPs, Regionals, Easterns, and Nationals will be assessed only to those individuals that qualify for those meets.

Boys, all Levels $600.00 (3 installments of $200.00)* September 15, October 15, and November 15, 2010
TOPS Testing $150 (1 installment) May 15 2011*
*Changes to the third installment, or installment due dates may be adjusted based on the final meet schedule.
Regionals, Easterns, TOPs and National fees
After States; gymnasts participating in any of the following meets will be required to meet the following account guidelines immediately upon qualification. Each gymnast must have in their Meet Fee account the following amount in order to be registered for these meets:
Regionals: $150.00
Easterns/Nationals: $450.00
TOPS Qualification Event: $350.00
Form of payment: All payments must be in the form of personal check or money order. Team meet fees of new members will be prorated based on date that gymnast becomes a member of the team. A fee of $25 will be assessed to any member who does not have sufficient funds to cover a check payment to the AGPA.
All members must work the specified time commitments (in “meet” terminology known as a slot) for AGPA sponsored meets and/or fundraising events. Working at the Brestyan’s Invitational is a requirement of a participating member of the AGPA.
All members must participate in at least one fundraiser, not including meets, during the membership year.
Disbursing of funds:
Participating members who are eligible for general fund proceeds must meet the requirements of the AGPA member agreement. Disbursements are usually credited to member accounts in July or August of the fiscal year.
At the end of the AGPA fiscal year, you may request a refund, in writing, for any unused team meet money you have paid into your account; otherwise, your funds will automatically carry over to your account for the next fiscal year. If you leave the gym prior to or at the end of the fiscal year, you must request a refund for any unused funds, in writing, and submit receipts for competition expenses, if requesting AGPA general fund disbursement money, within 60 days. Failure to do so will result in forfeiture of any funds in your account to the General Fund.
In accordance with IRS regulations, you may not withdraw fundraised money (known as an AGPA credit) from your account if your child (ren) leave(s) the team during the year. You may, however, request reimbursement of competition-related expenses from fundraised money. Please submit receipts documenting those expenses within 60 days after leaving the gym. Reimbursement may not exceed your share of fundraised money in your account.
Injuries:
If your child is, or becomes injured prior to the competitive season and has already been registered for meets, it is imperative that you notify the office and the AGPA Board in writing so that we can try to procure a refund for the registration fees only. Please note that if the scratch dead line has already passed, you will not receive a refund.
An athlete that becomes injured and unable to compete for three months or more during the competitive season will become exempt from coaches’ fees for meets she does not attend during that period of time. The parents must provide written documentation from a medical doctor that states the athlete will be unable to compete for that period of time.
If the athlete rehabilitates sooner than the three month period and attends meets even if only to compete in one event, the AGPA will resume charging coaches’ fees to that family for those meets, and all subsequent meets, for the remainder of the season.
Inability to attend a specific meet:
Parent(s) or guardian(s) of a team member who is not able to attend a specific meet must first contact the front office for approval by email at teambrestyan@comcast.net. If approval is granted you must then notify the AGPA by email at brestyanagpa@yahoo.com
Please note that adjustments to meets fees will be considered for estimated registration fees only. No adjusts will be made for coaches’ fees which are the obligation of all team members, unless the athlete becomes injured and unable to compete for three months or more.
Termination of membership:
Any member who does not meet membership criteria will be dropped from a participating member to a non-participating member of the Association after notification from the Secretary. The member will still be responsible for all Meet Fee obligations.
Reinstatement:
A member whose membership has been terminated may be reinstated upon meeting financial and/or time obligations as determined by the Board of Directors. Any General Fund proceeds, meet proceeds, Pursuit of Excellence Awards or any other award thereof will be prorated accordingly.
Team meet fees must be paid by the payment due date as specified in this Agreement. All subsequent charges must be settled and paid in full by May 15, 2011 to be eligible for proceeds or other awards as stated.
Default of payment:
A member will be in default if payment is not received within 30 days of its due date. The Treasurer will notify the member, who then must explain his or her reason for default. If there is a continued delinquency in payment, the Board of Directors will terminate membership in the Association.
AGPA Membership Agreement

_____ I acknowledge that I have received a copy of the AGPA bylaws and the AGPA Membership Agreement. As a member of the AGPA I agree to act in accordance with the membership criteria as stated below in this agreement and in the AGPA bylaws. I understand that I must abide by these criteria in order to be eligible to receive benefits from the organization. All fundraising and meet fees earned are disbursed according to the AGPA members vote.
_____ I am a non-participating member of the AGPA. I understand that I must act in accordance with the bylaws regarding financial obligations in order for my child to be registered for meets. I understand that I will not receive any proceeds, awards or benefits from the AGPA and must therefore pay a $35.00 registration/meet fee. Also as a non AGPA member, I will pay $5.00 fee per meet for any add/drop of meets.
