GUIDELINES FOR CHAPTER PRESIDENT

 

Send all reports to your Province President.

Use your Calendar-Directory and the form IB351 to see what materials are due and when.  It is your job to remind all your officer of what is due and to keep a checklist (IB 351) of the dates reports are forwarded to the Province President.

 

President’s Reports Due                      
Letter or email to the Province President: Sept 15, Oct 31, Dec 15, March 1, April 1, May 15

September 15                                      
IB395 - School Calendar

October 31                                   
Make sure Treasurer, Publicity Director, Music Activities Director, and Warden have submitted their reports (see IB351).

December 15                                       
Make sure 2nd Vice President, Treasurer, Publicity Director, and 1st Vice President have submitted their reports.
Check and make sure all Perspective Membership records and fees have been submitted for 1st semester.

March 1                                               
IB372 - Senior Honor Pin
Make sure 2nd Vice President has submitted the Chapter Newsletter and the Treasurer and Publicity Director have submitted their reports.

April 1                                                 
IB341 - Member Exam Grade Sheet
Rotating Grant (if awarded to chapter during the current year)
IB362 - (Conference year only)
Make sure Secretary, Treasurer, Warden, and 1st VP have submitted their reports.

May 15                                                
IB374 - Adviser and Sponsor Nominations
Summer Custody
Make sure all final reports from all officers are in for the year.
***IB376 - Annual Chapter IRS Report*** Due to International President and National Treasurer

Explanation of Reports

Monthly Letters:
This is an informal letter in which you discuss what you chapter has done during the past month. Share concerns and any questions during this communication to the Province President.

Academic Achievement Report:
This report lets the national office know how you are emphasizing high scholarship in your chapter and in the school in the name of Delta Omicron. This is also encourages you to give the Senior Honor Pin to the senior having the highest cumulative grade point average for three years, B or above.

Fraternity Knowledge Exam:
This covers the materials used in the form IB349. You may do anything you like to go over this with your chapter to review and learn more about the Fraternity. Please report what you do with IB341. 

Nomination of Advisers:
The chapter nominates the Chapter Adviser and the department appoints the Faculty Sponsor. Please report this information on IB374 to be approved the by the Board of Directors.

Summer Custodian:
The President needs to appoint a member of the chapter to keep and eye on all the chapter properties during the summer months. All properties should be under lock and key. Please send the name and address of this person to the Province President.
