Building Committee Meeting - June 14, 2003 – 9 AM

Attendees: Dave Cain, Roy Koch, Carole Sarber, and Bob Tierney

  1. Prayer
  2. The meeting started with prayer for various needs of the church congregation and for the work of the Building Committee.

  3. Review successes since last meeting
  4. Since our last meeting a trip was made to visit the Mars Alliance Church. This trip was very beneficial since the Mars facility contains many excellent features. Also, since the last meeting a form was created to survey the congregation concerning the building program. The form will be distributed tomorrow, June 15. Also, it was noted that the web site has been kept up to date. A hit counter was added. In the last three weeks the home page of the site has received 114 hits. The home page is averaging about 5 hits per day.

  5. Congregation Survey - Survey will be issued tomorrow, June15. We potentially will get over 400 returned forms. How should we digest the results?
  6. It was decided that the survey results should be entered into an ACCESS database so that the results could be analyzed and reports produced. Roy Koch agreed to create a database for this purpose and to make a form for easy data entry. Data entry people will be needed. The completed forms could be distributed to numerous people for data entry. The data could then be combined into one contiguous database for analysis. Tom Mowrer will be contacted to see if people in the AG could be used for data entry. Carole Sarber also volunteered for data entry.

    The completed forms are to be returned to the church by June 29. Data entry and analysis should be done early in July to support use of the data at the July 19 planning session.

  7. Facility Visits - How many other facilities should we visit? What facilities will we pick?

Visits to two facilities to data have been very profitable. Other potential sites to visit include

Pleasant Hills Presbyterian and Wilson Christian Academy are close to each other and could both be visited on the same day. Either could be visited in the evening. It was agreed that further visits will be deferred until August because of the demand for other work in July. The next visit will be decided at the next BC meeting in July. The best Saturday in August for a visit would be August 16.

  1. Creative Planning Session - How should it be conducted? What should be on the agenda?
  2. The Creative Planning Session will be held on Saturday, July 19. The entire church family will be invited to attend. The purpose is to get more input from the congregation. The results of the survey will be available for review prior to the session. A tentative agenda for the meeting is:

    The key to success of the Creative Planning Session will be effective facilitators in the group sessions. The Advisory Group members should lead the groups in their areas of interest. Other facilitators could be Dave Cain, Carole Sarber, Pastor Jeff, and Roy Koch. Planning for this meeting will be discussed with the Advisory Group Chairman, Tom Mowrer, in the next few weeks.

  3. Presentation at the congregational meeting - What should be presented?
  4. The next congregational meeting is scheduled for July 2. A presentation will be made at this meeting to review the accomplishments to date and to discuss future plans. Roy Koch will make the presentation. Participation in the Creative Planning Session will be encouraged.

  5. Progress on overall plan
  6. A rough draft of an overall plan was developed and presented. It is attached to these minutes. The next step is to have the plan reviewed by the Advisory Group. Also, it was agreed that Pastors Wood and Norris will be asked to review the plan. The plan follows the building sequence presented by Dan Zajdel during his seminar. There is more detail presented in the planning phase of the work since it is better defined. The plan shows completion of the Family Rec Center in April 2006. After comments are received and incorporated the plan will be used to measure progress during the building program. Comments will be requested by June 28.

  8. The next Building Committee meeting will take place at 9 AM on July 12.
