STANDING COMMITTEE RESPONSIBILITIES
NOMINATING COMMITTEE
- Appointed by Cluster Lay Director in June each year.
- Consists of three to five members of the currently elected Board of Directors, one of which must be the Spiritual Director, or the Assistant Spiritual Director. Those named to this committee will be published in the July Cluster newsletter.
- Will be chaired by the Cluster Assistant Lay Director.
- Presents proposed slate of nominees to the Board for their approval at Board meeting just prior to the August Cluster meeting.
- Obtains commitment of approved nominees to serve specified terms, if elected. Presents resulting slate of nominees to the Board for confirmation at the Board meeting just prior to the September Cluster meeting.
- Presents confirmed slate of nominees to the general Cluster membership at the October Cluster meeting for Cluster approval.
CLEOPAS CONNECTION
- Committee shall consist of at least two, and preferably three members. Chair of the committee may recruit extra help as needed.
- Prepares and maintains contents of Shoals Cluster handbook, known as the Cleopas Connection.
- Secures list of new Pilgrims from the Cluster Lay Director.
- Greets all new Pilgrims returning from their Walk, gives recognition flower, and Cleopas Connection binder.
- Tracks new Pilgrims for a year through data provided by the Database Coordinator. Notes absences, and sends notes of encouragement to these Pilgrims and their sponsors.
- Works with new Pilgrims identified by the Reunion Group Coordinator, by explaining the duties and responsibilities of this committee. Encourages continued Cluster involvement by inviting new Pilgrim(s) to assist with this activity at the next Cluster meeting.
REFRESHMENTS COMMITTEE
- Committee shall consist of Chairperson and committee members as needed for each meeting location.
- Chairperson shall serve as contact for Alabama Emmaus Community, and responds to requests for refreshments from Walk to Emmaus teams.
- With approval of the Board of Directors, secures refreshments as requested by teams in other Communities, Kairos, etc.
- Maintains contact with Reunion Groups, Individual Cluster members, church groups, and others, to obtain refreshments.
- Coordinates the furnishing of food, setup, serving, and clean up at each Cluster meeting/activity.
- Secures paper supplies and staples, as needed for refreshments at Cluster meetings. Obtains reimbursement from Cluster with properly documented receipts.
- Invites new Pilgrims identified by Reunion Group Coordinator to assist this committee at the next Cluster meeting. Explains duties and responsibilities of the committee, and how it mirrors the Refreshments Committee on a team. Encourages continued Cluster involvement.
WORSHIP COMMITTEE
- Committee consists of Co-Chairpersons, one for each meeting location, and as many members as desired by the Co-Chairs.
- Prepares worship settings for Cluster meetings, being responsible for setup and dismantling.
- Responsible for elements of Holy Communion at Cluster meetings.
- Invites new Pilgrims identified by the Reunion Group Coordinator to assist this committee at the next Cluster meeting. Explains how this committee mirrors the Worship Committee on a team, and encourages continued Cluster involvement.
KAIROS LIAISON
- Serves as the liaison between the Shoals Cluster and various Kairos and Kairos Outside groups in the area.
- Liaison is Chairperson, who may, according to the current project, recruit as many helpers as needed.
- Informs Board and Cluster membership of Kairos and Kairos Outside weekend dates, and how they may participate, if they choose.
- Coordinates requests from Kairos and Kairos Outside groups with appropriate Cluster entities, i.e., Agape, Refreshments, Prayer Vigil, etc.
- Explains duties and responsibilities of this position to new Pilgrims identified by the Reunion Group Coordinator, and invites them to participate in upcoming events. Encourages continued Cluster involvement.
INFORMATION CENTER
- Committee consists of two or more members, as needed.
- Sets up display of informational items at each Cluster meeting. Items will include as a minimum: Application to Attend a Walk; Application to Serve; Cluster Roster; Sponsorship Tips; Current Newsletter; list of Reunion Groups with meeting schedules and contacts, Upper Room Emmaus publications. Other items of interest, such as order forms for Cluster shirts, note cards and other Emmaus logo items, and newsletters from other Clusters may be included at the discretion of the Board of Directors and/or the Committee.
- Maintains the petty cash to make change for purchases.
- Invites new pilgrims identified by the Reunion Group Coordinator to participate in this activity at the next Cluster meeting. Explains the duties and responsibilities of the committee, and encourages continued Cluster involvement.
- Is responsible for the Cluster P.A. system. Sets up the system an Cluster functions, and provides safe storage when not in use. Promptly notifies the Board of any malfunction, so that the equipment is properly and promptly repaired.
WEBMASTER
- Maintains and updates Cluster web site under the general oversight of Cluster Board of Directors, and under the supervision of the Cluster Lay Director.
- Secures data for web site from Cluster Lay Director.
- With approval of Board of Directors, selects and trains as Assistant/Understudy who is knowledgeable of Cluster activities, and who could access and maintain the web site if necessary.
- Serves a minimum of two years, with review by the Nominating Committee.
ASSISTANT WEBMASTER
- Works with and under the direction of the Webmaster to maintain and update the web site.
